The Role
We are seeking a highly organized and proactive Operations Manager to join our team. This individual will play a critical role in overseeing and managing daily operations, ensuring that financial, contractual, and administrative functions run smoothly. You will collaborate closely with various departments, helping to drive efficiency across invoicing, payroll, event coordination, and more. The role will also require flexibility to take on ad hoc tasks as needed to support our growing business.
Key Responsibilities:
Invoicing and Payments: Prepare, review, and issue invoices to clients. Follow up on outstanding payments to ensure timely collection.
Statements of Work (SOWs): Draft, review, and manage statements of work for client engagements, ensuring accuracy and alignment with project deliverables and terms.
Event Coordination: Book and coordinate events, such as client meetings, conferences, or internal team events, ensuring all logistics are in place.
Payroll Management: Handle payroll processes, including paystub generation, ensuring employees are paid accurately and on time.
Financial Oversight: Assist with budget tracking, expense management, and reporting to ensure financial accountability and efficiency across the organization.
Contractual Support: Manage contracts and agreements with vendors and clients, ensuring all legal and financial obligations are met.
Administrative Tasks: Provide administrative support as needed, including scheduling meetings, maintaining records, and ensuring compliance with internal processes.
Ad Hoc Responsibilities: Take on additional tasks as needed to support business operations and contribute to the overall success of the team.
Qualifications:
Bachelor’s degree in Business Administration, Operations Management, or a related field.
3+ years of experience in an operations, finance, or administrative role, preferably within a consulting or technology environment.
Strong organizational skills with the ability to manage multiple tasks and projects simultaneously.
Experience with invoicing, payroll systems, and contract management.
Excellent written and verbal communication skills, with a keen attention to detail.
Strong problem-solving skills and the ability to adapt to changing priorities.
Proficiency in Microsoft Office (Excel, Word, PowerPoint) and familiarity with financial software (e.g., QuickBooks, Xero) or project management tools (e.g., Asana).
Ability to work independently as well as collaboratively in a team-oriented environment.
